Exchange Email Management and Monitoring made easy.

Mailscape v 4.4 has just been released. Mailscape V4.4 is comprised of three integrated, complementary modules that combine to automate and simplify the repetitive manual tasks necessary to keep the email flowing:

I. One Look Dashboard for Exchange Monitoring
Mailscape’s One Look Dashboard is an intuitive, visual approach to monitoring Exchange.
The One Look Dashboard graphically presents real-time data on all the vital information that directly impacts Exchange uptime. The beauty of our visual display is that it points you towards a solution even as it alerts you to a problem—it does
not leave you adrift to figure out an issue’s cause and its solution.

II. Compass for Load Balancing & Reporting
Mailscape Compass for Load Balancing & Reporting gives you a ‘bird’s eye view’ into your entire Exchange environment.
• Proactively advise senior management of future Exchange storage needs.
• Provide help desk staff with the information they need to improve the level of service to your end users—and at the same time cross-train them to one day become Exchange administrators.
• Plan for and prioritize Exchange maintenance tasks.
• Easily distribute mailboxes across your Exchange databases.
• Quickly and easily view vital information about your users and their mailboxes—Who is
approaching a warning, prohibit send, or locked out state? Who has the largest mailboxes?
How are your mailboxes distributed per OU, per storage group, per database?

III. Access Tracker for Client Monitoring (Coming Soon)
Mailscape’s Access Tracker gives you the ability to determine how your users are accessing
Exchange and whether someone is attempting to gain unauthorized access to a user’s mailbox:
• What versions of Outlook are currently being used?
• Which users are utilizing cache mode?
• Who is logging in via Outlook Web Access?
• Who is accessing selected users’ mailboxes?

Are you afraid of Switching Email Archiving Systems?

I recently attended an Osterman webinar in which he said only 35% of organizations have deployed an email archiving system; and of those that have deployed, almost two-thirds would like to switch to a different system. Some want to switch for business reasons (merger, acquisition, strategic change in vendor preference); others want to switch for technical reasons (system was not properly implemented, system lacks key features, system can’t handle present email volumes).

But in all cases, the decision to switch is complicated by a number of factors:
· Discoverability of the data after migration
· Chain of custody of the data during migration
· Duration of the migration project (ie, costs)
· Impact on the end users

If yours is one of the organizations in Osterman’s “wants-to-switch” bucket, then the only safe, rapid, AND cost-effective tool on the market is TransVault.

And if your organization is still shopping for an archiving system, knowing that TransVault exists should give you peace of mind—you have an easy escape route if you ever need to move to a different archiving system. TransVault effectively ‘future-proofs’ your data and erases your concerns of vendor lock-in.

New e-Discovery versions for Discovery Attender version Now Available for Exchange and Lotus Notes

Discovery Attender for Exchange version 3.0 and Discovery Attender for Notes version 6.4d/8.0, include enhancements that aid in the production of responsive information for litigation, e-discovery and internal investigations while still offering a non-intrusive architecture, easy-to-use interface and attractive price point.

Discovery Attender assists IT, Litigation Support and Legal Teams in searching live data stores and addressing the amendments to the Federal Rules of Civil Procedure (FRCP) by effectively gathering and producing responsive information in a timely, defensible manner.

Discovery Attender for Exchange automates the discovery of information in Exchange mailboxes, PST files, public folders and common storage areas. Version 3.0, has improved search performance by 25%, increased the collection of detail with expanded Pattern Matching and added new functionality including Indexing of Results and Automatic Labels. Pattern matching allows users to find complex criteria such as PCI data (e.g. social security numbers, credit card numbers) or patent numbers by deploying Regular Expressions and enhanced wildcards. In addition, the new Automatic Label functionality allows users to enter a secondary set of criteria, especially those that want to mark and exclude privileged data without running a separate search process.

Discovery Attender for Notes is designed to perform investigative tasks in Domino server databases, instant message logs and common file storage areas. Many times, outside Law Firms and Legal teams are handed .NSF files from their clients but lack the hardware and technical expertise to properly search them. Version 6.4d/8.0 provides a Desktop installation option that bypasses the costly and cumbersome process of setting up an in-house Notes domain and allows the discovery of content within .NSF files without a Domino server.

“The Discovery market has been exploding,” says Kevin Ogrodnik, President of Sherpa Software. “With the number of compliance regulations and the increase in corporate litigation, companies must be able to search and quickly retrieve data across multiple locations such as email, PST files, network files and desktops. Our discovery products allow companies, of all sizes across every industry, to gain a thorough understanding of what data resides in their systems and meticulously retrieve relevant data into specific legal holds.”

Why implement an email monitoring and reporting solution?

There is a lot of buzz in the marketplace lately around email monitoring and reporting, and there are a lot of tools which provide significant reporting and monitoring capabilities. However, they come with a significant price tag, a 200 page installation manual and take a significant amount of time to configure via costly professional services.

So when you are looking for an email monitoring and reporting utility, here are a few things you should consider:

· Does the product combine key elements of reporting, monitoring, and administration in a single solution?
· Some products require days of professional services to install. Is the product easy to install?
· Some products have configuration manuals hundreds of pages long. Is the product easy to configure to your specific thresholds?
· Some products require hours of training and/or a dedicated administrator. Is the product easy and intuitive to use?
· Some products place unwanted loads on server performance. Does the product monitor itself so you can measure & control its impact on Exchange or Lotus Domino environment?
· Some products place unwanted loads on network performance. Is the product architected to be ‘light’ on network traffic?
· Does the product present data in a clear, easy-to-understand visual dashboard format?
· Does the product enable you to share data easily with key stakeholders (senior management, help desk staff, etc)?
· Does the product alert you to issues using real-time data?
· In addition to alerting you to issues, does the product also help you to plan a course of action?
· Does the product provide data to help you plan proactive management tasks to prevent issues from happening?
· Your environment is unique; is the vendor willing to consider custom feature requests?
· Email is critical to your business; does the vendor understand Exchange or Lotus at its deepest levels?

Once you have decided that you need an email monitoring and reporting utility, the next question that comes to mind is ”How will I justify it and how will it save me money?” . Below is information on why email monitoring solutions should be purchased and utilized in the enterprise environments. They:

· Minimize the risk of storage shortage by being able to forecasting future needs on historical trends.
· Enable the Help Desk to purge the email server of inactive mailboxes and thereby recover Email licenses and storage space.
· Empower your CIO to justify budget requests for additional storage, staffing, etc, based on charge back reports showing the importance of your email server.
· Support your recommendation to implement mailbox quotas and/or to deploy an e-mail archiving system with quantifiable data.
